There is a newer version of this guide on our Knowledge Base.
Last month, Kanbanize 5.0 introduced the first generation of widgets on the Main Dashboard. Our new version 5.1 brings custom widgets to Kanbanize, which use the Advanced Search to generate flexible, live table, pie chart or bar graph widgets of filtered data as part of your account’s entry point.Using the Advanced Search in Kanbanize, you can add almost any relevant data you would like to monitor to the dynamic Main Dashboard.
One of the most significant aspects of the new widgets is that they are completely customizable. In other words, they can include information from any of your common, saved filters in the advanced search.
In order to create your own custom widget, generate a filtered advanced search first by defining its parameters using the Refine Search Criteria option. You can apply as many filters as you require in order to extract the precise data you would like to keep an eye on in your dashboard. The custom fields you have added to your board will also be available to be used as filters during this step.
For example, you can set up a widget showing all the current work items, on a board of your choice, that have been In Progress for more than five days. In order to get the desired results, select the “Cycle Time” greater than 5 days criteria, the “Board” of your choice and the In Progress “Section” from the filters to make sure all In Progress columns are accounted for.
The example above might appear best in a table visualization when added to your Dashboards. However, another search generating all the cards in a project by their assignees, for example, might be visualized better as a dynamic pie chart on your Main Dashboard.
*Pie chart and bar graph visualizations, as generated by the Advanced Search, are awesome visual candidates for custom widgets on your dashboards.
For any common searches you generate, save your filter using the “Save” button, located below the search criteria. Give it a name and description for future reference.
When your widget filter is saved, return to your main dashboard and enter the additions button to Add Widget. You will notice that below the first four widgets introduced last month, there is a new section dedicated to the “CUSTOM WIDGETS” you will create yourself. The filter you just saved will appear there. Select it and click “ADD WIDGET”.
After you activate the widget, it will have the same options as your normal widgets and you will be able to change the filters anytime you need from the gear settings button. The settings menu will generate the original Search again and allow you to change what parts of it are displayed in the dashboard.
This was the slightly longer way of adding custom widgets to your dashboards, but there is a handy shortcut.
If you would like to bypass adding your widget through the dashboard additions button, use the new pin icon located in every advanced search panel to achieve the same result.
If we are setting up a widget that shows logged time in the support board, for example, we would choose “Logged Time” and “Board” filters on our data in the search. After generating all the cards to which the criteria apply, you can create a custom widget directly from the search panel using the new pin icon, located at the bottom right corner of your screen. You will still need to name and save your search but the custom widget will be automatically pinned to the dashboard and your user will be redirected there.
The custom widgets are among the features designed to bring your daily Kanbanize game to a whole new level and make monitoring the data on your boards a regular part of your process every day, the moment you log in. Customizable widgets build upon the foundation of 5.0 and will continue to explore this invaluable feature in our upcoming enhancements and additions to Kanbanize.
